The fastest way to get setup is using the setup wizard...
The setup wizard will automatically start when you login to your Control Panel with your Timescan administrator username and password. This will step you through the features of Timescan and get you ready to start recording timesheet data.
Create a resource either using the setup wizard or the Edit resource menu in your Control Panel.
Enter a resource code, this must be unique compared to other resource codes and also compared to employee and project codes, this code will be used when entering a timesheet against this resource. Enter the hourly cost for this resource, this cost will be added to any timesheet the resource is allocated to.
If required, enter a cost center (used in export only) and an operation (export only).
Resources can be setup as task types or levels (for example Normal Labour, Supervisor Labour, Apprentice Labour etc.) or as overheads (for example Hire equipment, Sub-contractor work etc.) or as manufacturing equipment and tasks to track machine hours and costs (for example LATHE, SANDBLASTING, MIGWELD, MV65 etc).
Create an employee either using the setup wizard or the Edit employee menu in your Control Panel.
Enter an employee code, this must be unique compared to other employee codes and also compared to resource and project codes, this code will be used when entering a timesheet against this employee.
Enter the hourly cost for this employee, this cost will be added to any timesheet the employee is allocated to.
A default resource can be allocated to employees and it will be used in timesheet entry if no other resource is entered. When the Force resource control is set to on, all other resources entered on a timesheet will be ignored.
If required, enter an operation (export only).
Single project - Enter a project number (required) and other optional details including description, item and client. Allocate a project manager from your employee list if required.
Multiple projects - Projects can be created in the setup wizard or the Edit project menu.
Set the Multi control to On to display the Multiple project entry screen, enter the new project numbers on a new line and click the Add new projects button. Projects numbers can also be pasted directly into this field.
New projects are created as Active by default, however you can make a project Inactive in the Edit project menu.
For maximum efficiency Timescan should be used with a handheld scanner (wired, wifi or bluetooth), however timesheets can easily be entered via the keyboard.
On the timesheet entry page, set the "Scanning" control to Off to display the manual timesheet entry screen.
Enter the project, resource or employee codes and click Save to start tracking a timesheet combination; to close the timesheet enter the same project, resource or employee combination and Timescan will find the correct timesheet and close it automatically.
As soon as a timesheet is created (started), it is available in the timesheets reporting area.
Enter a combination of date range, project number, employee or resource and click the View button to display the results. Timesheet results can be filtered, sorted and paginated using our responsive report formatting. Open timesheets will be displayed in red for easy identification during timesheet maintenance.
To run who's active type reports of timesheets, set the "Show open timesheets only" control to On. This will display all open timesheets within the query parameters you have set.
Barcodes can be produced from the Barcode area (Members / Barcodes), Select a category (Projects, Employees or Resources) to automatically display 3of9 barcodes.
Use the sizing and column tools to format the barcodes as needed.
Use the filter field to filter your results for individual barcode labels.
